The dates of the BioGuard Leadership Conference are January 4-7, 2027.

You are allowed to use Co-Op funds only for the three main nights of the conference – January 4, 5 and 6 (check out January 7).

Any additional nights will be paid directly by you to the hotel as Co-Op funds cannot be applied to additional nights. The room rate for additional nights is $329 per night + $50 resort fee + $3 housekeeping fee + 12.5% tax. Note the tax rate is subject to change prior to January 2027.

If you wish to extend your stay, please make that request when you register for hotel.

Please note that due to the Disney Marathon dates, we have very limited rooms available for the night of January 7 and we do not have any hotel rooms available starting the night of January 8.

Four people are allowed per room as the Swan does not allow rollaway beds due to fire marshall restrictions. If you have more than 4 people, you will need to register for an additional room. At least 1 person per room must be a full time attendee.

There are several different attendee types this year.

For Full Time Attendees or Full Time Attendees sharing a room, your trip includes the following:

• Hotel accommodations for 3 nights - January 4, 5 & 6, 2027
• Monday, January 4 - Welcome Reception
• Tuesday, January 5 - Breakfast, Lunch, breaks
  • Note that business sessions on this day end at 3:00 PM so you have time to explore the resort, parks or Disney Springs. The Swan offers a complimentary shuttle or water taxi to the parks and shuttles to Disney Springs.
• Wednesday, January 6 - Breakfast, Lunch, breaks and Final Night Dinner, Fireworks Show & After Party at Epcot
• Leadership Conference events from Monday to Thursday
• Transportation to and from the Orlando International airport to Walt Disney World Swan from January 2-7, 2027
• Overnight SELF parking at the Swan if you are driving from January 2-7, 2027. Valet parking or parking at any of the Disney World Parks is a personal expense.
• After January 7, transportation to the airport and parking is a personal expense.

For Part Time Attendees sharing a room with a Full Time Attendee, your trip includes the following:

• Monday, January 4 - Welcome Reception
• Tuesday, January 5 - Breakfast ONLY
• Wednesday, January 6 - Breakfast ONLY as well as Final Night Dinner, Fireworks Show & After Party at Epcot
• No Education Sessions
• Transportation to and from the Orlando International airport to Walt Disney World Swan from January 2-7, 2027

For Final Night at Epcot Attendees, your trip includes the following:

• Wednesday, January 6 - Final Night Dinner, Fireworks Show & After Party at Epcot
• No Other Meals are Included
• No Education Sessions
• Transportation to and from the Orlando International airport to Walt Disney World Swan from January 2-7, 2027

Please note that airline tickets are NOT included in the cost. All attendees are responsible for making their own flight arrangements.

Gratuities have been prepaid for the following services connected with group functions:

• Hotel Bellmen
• Motor coach drivers to and from the Orlando International airport
• Group meals at the hotel

You will be responsible for any incidentals and personal extras, such as:

• Airline flights
• Disney World Park Tickets
• Spa services
• Laundry
• Gift shop charges
• Any other personal items that you charge to your room

Upon check-in, you will be required to leave a credit card imprint for all incidental charges.

January in Orlando is typically lovely weather, with average highs in the low 70's and overnight lows in the mid 50’s. 

The attire for the business meetings is business casual. We recommend that you bring a light sweater or jacket for the meetings.

Evenings can be chilly so bring a jacket for the times you will be leaving the hotel. 

For our final night at Epcot on Wednesday, January 6th, our dinner venue is inside. After dinner, we will be outside watching the Epcot fireworks show. The BioGuard After Party at Epcot is inside.
